Overview

This article will guide you through how to use the app and key information you need to know;

  • Default preferences

  • Personal or Business assigning

Requirements

End user will need;

  • Their mobile device

  • Trusted Contacts app

  • To be logged into the app

Functionality

Default Preferences

The end user will see a banner at the top of the app, which represents the Organisational or Individual level preference that has been set for them. The logic is;

  • If an Individual level preference has been set, this will be shown. If not then,

  • The Organisation level default will be shown

This is important for how we treat any messages from any unknown contacts, to the user and that have no contact relationship, should they send a message. These preferences are managed within Insight and by the Admin.

Business or Personal

Within each contact, the user has the ability to select if the individual number(s) for that contact are Personal or Business. They do this by simply selecting the icon and changing this, as below and the following are the icons.

  • Personal = Person icon

  • Business = Briefcase icon

This means then, we will treat any message from that individuals number accordingly. If Personal, we will discard the message. If Business, we will capture for Audit. Certain scenarios may override that (group messages for example), see Messaging Scenarios below for more information.

If a user switches a contact, from Business to Personal, then a warning message appears as displayed below. This is to act as a sense check with the user and to confirm what taking this action will do. If switched, it means going forwards, we will not capture those messages and Audit. Again, certain scenarios may override that (group messages for example), see Messaging Scenarios below for more information.

Bulk Action

The user has the ability here, clicking the 3 dots, to bulk select and action contacts. When bulk action is taken, it applies to any numbers within that contact. If the user needs to apply a different preference to a number for a contact, they can go inside the contact to do this.

Search and Sort

The user has search and sort options as seen here. They can quickly search for a contact or sort the contact list by Last or First name.

Messaging Scenarios

We've covered below, the various different scenarios for messaging. This outlines the situation, for example, what if I message a Business assigned contact but my Organisation default is Personal? The table then shows the outcome, in this case, that we would capture and Audit that message.
