This article explains how to use the Advanced Search feature in MirrorWeb’s Communications dashboard. It enables compliance teams to build more granular search queries using Boolean logic, field-specific filters, and user activity tracking.

🛠️ Step-by-Step Instructions

1. Navigate to the Search Page

Go to:
Dashboard > Communications > Search > New > Advanced

2. Configure Search Filters

Terms

  • Check Match only whole words to avoid partial matches (e.g., searching "deal" won’t return "ideally").

  • Use Add Group and Add Rule to combine keyword conditions using AND / OR logic.

  • Apply rules to specific fields like:

    • All fields, Subject, Body, etc.

  • Select whether Any or All conditions must be met.

People

  • Check Exclude partial matches to only return exact sender/recipient addresses.

  • Create filter rules for:

    • Senders and/or Recipients

    • Choose operators: Includes or Excludes

    • Combine with AND/OR logic for complex combinations

    • Use Any or All matching

Platforms

  • Choose which communication platforms to search within (e.g., Email, Slack, Microsoft Teams).

User Actions

  • Filter based on actions taken by compliance users, such as:

    • Viewed by, Flagged by, Escalated by, etc.

  • Combine multiple conditions and choose:

    • Match any condition or Match all conditions

Flagged Status

  • Filter messages by:

    • All messages (default)

    • Flagged only

    • Unflagged only

Review Status

  • Filter messages based on review progress:

    • Include/Exclude specific statuses (e.g., Reviewed, Escalated, Pending)

Message Filtering

  • Optional checkboxes to include:

    • Privileged addresses

    • Marketing addresses

Date Range (Required)

  • Select a start and end date.

  • Or use Quick Select: Today, Yesterday, Last Week.

Sampling

  • Limit the data returned by selecting:

    • Percentage or Fixed Count

    • Default is 100%, meaning all results will be pulled.

Sort By

  • Choose how to order the results:

    • Newest (default) or Oldest

3. Run or Save the Search

Once all filters are in place:

  • Estimate
    Preview the number of matching messages before running the full search.

  • Save Template
    Store your search configuration for future use—great for recurring review types.

  • Save to Vault
    Save the actual result set for formal audits or investigations.

  • Search
    Click this to execute your full query and retrieve results.

💡 Pro Tips

  • Use Add Group to combine different rule sets cleanly with AND/OR logic.

  • Filter on User Actions to isolate content already flagged or reviewed by others.

  • Exclude partial matches is great for avoiding false positives on substring email matches.

🧪 Troubleshooting

If results aren’t showing up:

  • Double-check date ranges and platform selections.

  • Try running Estimate first and remove groups one at a time to isolate conflicts.

  • Ensure your field-specific filters aren’t excluding needed content (e.g., wrong sender logic).

  • For sender/recipient issues, make sure you're not mixing "Any" and "All" unintentionally.
