You can exclude specific phrases—such as disclaimers, signatures, or other recurring text—from triggering compliance flags by setting up Flag Exclusions. This feature helps reduce false positives and streamlines your review process.

MirrorWeb will automatically ignore these phrases in future communications, preventing them from being flagged by lexicon policies. Please note that exclusions apply only to messages ingested after the exclusion is created; they do not retroactively affect previously archived content.


🔍 Use Case / Scenario

Many outgoing emails include a standard legal disclaimer at the bottom, such as:

"This message is intended only for the recipient and may contain confidential information..."

This disclaimer appears in every external email and frequently triggers false positives in the lexicon-based compliance policies, leading to unnecessary reviews and increased workload for the compliance team.


🛠️ Step-by-Step Instructions

Adding Exclusions:

  1. Navigate to the Communications module.

  2. Click on Exclusions, then select Flag from the dropdown menu.

  3. On the Flag Exclusions page, click Add.

  4. In the Name field, enter a descriptive name for the exclusion (e.g., "Email Disclaimer").

  5. Paste the exact phrase you wish to exclude into the Exclusion field.

  6. Click Create to save the exclusion.

Exporting Exclusions:

  1. Navigate to the Communications module.

  2. Click on Exclusions, then select Flag from the dropdown menu.

  3. On the Flag Exclusions page, next to the Add button, click on the download problem.

Edit Exclusions:

  1. Navigate to the Communications module.

  2. Click on Exclusions, then select Flag from the dropdown menu.

  3. On the Flag Exclusions page, click on the edit button for the Exclusion you want to edit. Once you are done editing, click Update.

Delete Exclusions:

  1. Navigate to the Communications module.

  2. Click on Exclusions, then select Flag from the dropdown menu.

  3. On the Flag Exclusions page, click on the delete button for the Exclusion you want to delete.

💡 Pro Tips (Optional)
