This guide will walk you through the process of connecting your Microsoft Teams environment to MirrorWeb Insight for compliance archiving.


Prerequisites

Before you begin, please ensure:

  • Licensing Requirements: All users whose Teams messages need to be archived must have the appropriate Microsoft license. For detailed licensing requirements, please refer to our guide: What license type do I need in order to archive Microsoft Teams?

  • Admin Access: You must have Office 365 Administrator privileges to complete this setup.

  • Connection Request Email: You should have received a connection request email from MirrorWeb at [email protected]. If you haven't received this email, please check your spam/junk folders or contact your MirrorWeb Onboarding Specialist at [email protected].


Setup Process

Step 1: Locate the Connection Request Email

Your Office 365 Administrator will receive an email from [email protected] with the subject line referencing Microsoft Teams connection.

This email will look similar to the below:


Step 2: Click the Activate Button

Open the connection request email and click the Activate button.

This will redirect you to a Microsoft login page.


Step 3: Sign In with Admin Credentials

When prompted, sign in using your Office 365 Administrator account credentials.

Important - Please ensure prior to authorization that you have confirmed:

  • You are logging in with the correct MS365 Administrator credentials

  • Whether you are set up to capture ALL users on your MS365 Tenant or a selected group of users (check with your Onboarding Specialist)

  • The account you use to sign in must have administrator privileges in your Office 365 tenant


Step 4: Review and Accept Permissions

After signing in, you'll see a permissions consent screen that displays the permissions MirrorWeb Insight is requesting.

The screen will show:

  • The application name:
    MirrorWeb Compliance Archiver (Microsoft Teams)

  • The specific permissions MirrorWeb requires to capture and archive Teams communications.

To proceed:

  • Click Accept to grant MirrorWeb Insight the necessary permissions


Step 5: Confirmation

Once you click Accept, you should see a success message confirming that the connection has been established.

At this point, the Microsoft Teams connection to MirrorWeb Insight is complete.


Verification

To verify that Teams messages are flowing into the archive:

  1. Log into the MirrorWeb Insight Platform

  2. Navigate to the Communications module

  3. In the upper right corner, change the time frame filter to "Last 24 hours"

  4. Send a few internal TEST messages via Teams

  5. Wait approximately 15-30 minutes for messages to appear in the platform

  6. Search for your test messages to confirm they're being captured

Tip: Messages may take up to 24 hours to appear in the platform after the connection is established.


Troubleshooting

Common Issues

Issue: Connection request email not received

Solution: Check spam/junk folders. If still not found, contact your MirrorWeb Onboarding Specialist to resend the connection request or resend from within Connection Management (Go to Management > Connection management > Connections).

Issue: Seeing messages from other organizations in the archive

Solution: This indicates the connection may have been authenticated with the wrong account. Contact MirrorWeb Support immediately to reconfigure the connection.

Issue: Test messages not appearing in the archive

Solution:

  • Ensure you're viewing "Last 24 hours" in the time frame filter

  • Verify that the users sending messages have the correct licensing

  • Contact MirrorWeb Support if messages still don't appear after 24 hours
