Step-by-Step Instructions

Summary

The Users section of the MirrorWeb Insight platform is a centralized hub for managing access, roles, and activity across your organization. Designed with simplicity and control in mind, it enables administrators to efficiently manage user permissions, monitor platform engagement, and ensure compliance with governance policies.

Step-by-Step Instructions

1. User Management

Admins can view a list of all users associated with their organization’s account. Each user entry displays key information, including:

  • Name

  • Email address

  • Role

  • Status

This visibility helps administrators keep track of who has access.

2. Role-Based Access Control

The Users section supports granular permission control through role-based access. Depending on your governance or regulatory requirements, you can assign roles that limit or expand access to platform features:

  • Admins: This gives the user access to the management module, where they can change organization settings, add and remove users, and add and remove users from teams.

  • Communications: This allows the user to access the communications module and allows them to run searches and view archived content.

  • Communications Admin: This allows the user to administer lexicon dictionaries, policies, and exclusions.

  • Communications Privileged: This gives the user access to any messages that have been marked as privileged upon ingest.

  • Web: This gives the user access to the web module, where they can browse a list of web archive captures, and browse through any archived versions of webpages.

This helps organizations maintain strong access hygiene and aligns with best practices for data governance.

3. Inviting New Users

Adding team members is simple. Admins can invite users via email and assign them a role at the time of invitation. The invited user will receive a secure link to join the platform and set up their account. How to Invite a User.

4. Deactivation and Access Control

Admins can deactivate user accounts directly from the Users section, ensuring that former employees or contractors no longer have access to sensitive data. This is critical for maintaining security and regulatory compliance, especially in financial or government sectors. You can remove a user's access using the red trash can associated with the user.
