How to manage trusted contacts and defaults

Manage trusted contacts settings and default configurations.

Summary

The Trusted Contacts page in the Management module lets you set your organisation's default preferences, manage the list of active Trusted Contacts users, and configure per-user defaults. Organisation preferences control how messages from numbers that have not been classified by your active users are handled, and how long messages treated as personal are retained.

Prerequisites

  • Login credentials for MirrorWeb Insight

  • Admin access to the organisation

  • Trusted Contacts access enabled for your organisation (see How to enable trusted contacts)

Step-by-Step Instructions

Step 1: Open the Trusted Contacts page

In the Management sidebar, click Trusted Contacts. The page opens with a Preferences section and a Users section.

Step 2: Choose the default contact preference for your organisation

In the Preferences section, under "Default contact preference for your organization", choose one of the two cards:

  • Business — labelled "Recommended for compliance". All messages from numbers not classified in Trusted Contacts by Active users are captured and archived as business communications.

  • Personal — All messages from numbers not classified in Trusted Contacts by Active users are treated as personal, making them subject to discard and the expiry period set below.

This setting only applies to your Active users of the app. Anyone else in the organisation will have their messages kept by default.

Step 3: Set the personal message expiry period

Under Personal message expiry period, set the number of days after which messages treated as personal are permanently deleted. The field accepts a value between 0 and 30 days. Changing the expiry period only applies to new messages; existing messages keep the expiry period set when they were captured.

Step 4: Save your organisation preferences

Click Save. If you are changing the default contact preference from a previously saved value, a confirmation dialog titled Change Default Contact Preference? appears. It shows the current and new settings and an impact summary, and asks you to type CONFIRM before clicking Confirm Change. A success message confirms the preferences were updated.

Step 5: Configure defaults for an individual user

In the Users section, the Active tab lists Trusted Contacts users with their Name, Email, and Phone Number. To set a per-user default, click the configure (cog) action for a user. A dialog lets you set that user's Default contact preference between Business and Personal, affecting only that individual user's messages. Click Save to apply.

The configure action is only available for users who have a phone number set; for users without one the action is disabled with the tooltip "No phone number is set for this user".

Notes

  • The organisation default contact preference setting applies to future messages from your active Trusted Contacts users only. Other members of the organisation have their messages kept by default.

  • The Business option is labelled "Recommended for compliance" in the interface.

  • Per-user defaults override only that individual user's handling of messages from unclassified numbers.

  • To remove a user from Trusted Contacts, use the remove (trash) action next to the user in the Active list, which opens a "Remove user?" confirmation.
