How do I set up email archiving on Office 365?

Prerequisites

  • You must be an administrator on your Office 365 tenant. If you are not an Office 365 administrator, please send this guide to a member of your IT staff with the correct privileges.

  • You must have obtained your journal feed address (JFA) for email archiving from the MirrorWeb Insight platform. If you require assistance, please contact our onboarding team at onboarding@mirrorweb.com.

Step-by-Step Instructions

This guide walks you through archiving your entire tenant, which captures all users and email addresses on it. If you only need selected users or email addresses to be archived, refer to the guide "How do I set up email archiving on Office 365 for selected users?" instead.

Step 1: Set the undeliverable report address

In the Microsoft Purview Portal, set the address that receives a report whenever a journaled message cannot be delivered.

  1. Open your Microsoft Purview Portal. In the left-hand navigation bar, navigate to Settings.

  2. Select Data Lifecycle Management, then Exchange (legacy).

  3. Choose an Undeliverable report address. This is required if archiving ever fails and sends a report of the message and why it was blocked. The email address you choose must be outside of your domain, otherwise it will not be archived.

Step 2: Open Journal rules and add a new rule

Navigate to the journal rules for the Exchange (legacy) solution and start a new rule.

  1. In the left-hand navigation bar, navigate to Solutions, then Data Lifecycle Management.

  2. Select Exchange (legacy), then Journal rules.

  3. Select + New rule.

Step 3: Configure and submit the journal rule

Point the journal rule at your MirrorWeb Journal Feed Address and journal all messages for everyone.

  1. Copy the Journal Feed Address provided by your Client Onboarding Specialist and paste it into the Send journal reports to field. This address will be in the format xxx@us.mirrorwebmail.com.

  2. Enter MirrorWeb Insight or MirrorWeb Archiving as the journal rule's name.

  3. For Journal messages sent or received from, select Everyone.

  4. For Type of message to journal, select All Messages.

  5. Click Next, then Submit.

Step 4: Open the Exchange Admin Center and add a connector

Move to the Exchange Admin Center to create the connector that carries journaled mail to MirrorWeb.

  1. Navigate to Mail flow, then Connectors.

  2. Select + Add a connector.

Step 5: Choose the connection type

Set the connector to route mail from Office 365 to a partner organisation.

  1. Under Connection from, choose Office 365.

  2. Under Connection to, choose Partner Organization.

  3. Click Next.

Step 6: Name the connector

Give the connector a recognisable name and turn it on after saving.

  1. Enter MirrorWeb Insight or MirrorWeb Archiving as the connector name, and optionally set a description.

  2. Ensure Turn it on is checked.

  3. Click Next.

Step 7: Set when the connector is used

Scope the connector to mail addressed to the MirrorWeb archiving domain.

  1. On the Use of connector screen, select Only when email messages are sent to these domains.

  2. Enter us.mirrorwebmail.com, then select the +.

  3. Click Next.

Step 8: Set the routing

Route mail using the partner domain's MX record.

  1. Under Routing, select Use the MX record associated with the partner's domain.

  2. Click Next.

Step 9: Set the security restrictions

Keep the default security restrictions.

  1. Leave the contents of the Security restrictions screen as default.

  2. Click Next.

Step 10: Validate the connector

Validate the connector against your Journal Feed Address.

  1. Enter the Journal Feed Address that you have been provided by your Client Onboarding Specialist.

  2. Select the + to add this address to the validation request, then click Validate.

  3. Once the validation process has completed, click Next.

Step 11: Review and create the connector

Confirm the configuration and create the connector.

  1. Review the settings on the Review connector screen.

  2. Click Create connector.

Configuring email archiving on Office 365 is now complete. Please contact your Onboarding Engineer to continue the MirrorWeb onboarding process.
